1. Introduction
BookMyRepairs ("we", "us", "our") is an independent vehicle service and recovery garage based in Doncaster. We take your privacy seriously and are committed to handling your personal information responsibly, lawfully, and transparently.
This policy explains what data we collect when you use bookmyrepairs.co.uk or book one of our services, why we collect it, how we use it, who we share it with, and the rights you have under UK GDPR and the Data Protection Act 2018.
We are the data controller for the personal information described in this policy. If anything in this document is unclear or you would like more detail about any aspect of how we handle your data, please contact us using the details in section 8.
2. Data we collect
We only collect the information we need to confirm your booking, carry out your work, and meet our legal obligations. Specifically, we collect:
Contact details
Your name, email address, and mobile phone number. We use these to confirm your booking, send reminders, and contact you about your vehicle while it's with us.
Vehicle details
Your vehicle registration plate. We use this to look up your vehicle's make, model, engine size, fuel type and MOT history via the DVLA and DVSA so we can quote you the right price for your specific vehicle.
Address (recovery only)
If you book a recovery, we ask for the pickup address and the destination so the driver knows where to go. Address details are not collected for standard servicing or MOT bookings.
Payment details
We never ask for, collect, or store payment details on this website. Payment is taken at the garage when the work is completed, by card, cash, or bank transfer.
Technical data
Standard server logs, including your IP address and browser type, are kept temporarily for security and abuse-prevention purposes. We do not run any third-party analytics or advertising trackers.
3. How we use your data
We use the personal information we collect for the following purposes, each with a clear lawful basis under UK GDPR:
- To confirm and manage your booking — sending you a confirmation email, a reminder the day before, and any necessary updates if your slot changes (lawful basis: performance of contract).
- To contact you about your vehicle — calling or messaging you if we find something during the work that needs your approval before we proceed (lawful basis: performance of contract).
- To produce invoices and keep accounting records — issuing your invoice and keeping the records required by HMRC (lawful basis: legal obligation).
- To submit MOT results to DVSA — uploading test results to the national MOT database, which is a legal requirement for an authorised testing centre (lawful basis: legal obligation).
- To prevent fraud and abuse — keeping minimal logs to detect bot traffic, automated booking abuse, and other security threats (lawful basis: legitimate interest).
We do not use your data for marketing, profiling, or automated decision-making. We do not sell your data, and we do not share it with advertisers.
5. How long we keep data
We don't hold on to data longer than we need to. Different categories of information have different retention periods, set either by law or by what we genuinely need:
- Booking and invoice records— six years from the date of the work, to meet HMRC's record-keeping requirements.
- MOT records — held permanently by DVSA on the national database. We hold our local copy for as long as DVSA requires.
- Marketing data— if you ever opt in to marketing emails (we don't currently send any), we'd keep your details until you unsubscribe or ask us to delete them.
- Server logs — kept for 30 days, then deleted automatically.
6. Your rights
Under UK GDPR you have the following rights over the personal data we hold about you. Most of these rights are free to exercise and we will respond within one calendar month.
- Right of access — you can ask for a copy of the personal data we hold about you.
- Right of rectification— you can ask us to correct anything that's wrong or incomplete.
- Right of erasure — you can ask us to delete your data, subject to our legal retention obligations (booking records under HMRC rules cannot be deleted before six years have passed).
- Right to portability — you can ask us to send you a machine-readable copy of your data, or send it directly to another provider.
- Right to object — you can object to any processing we carry out under legitimate interest, and we will stop unless we have compelling reasons to continue.
- Right to restrict processing — you can ask us to pause processing while a complaint is being investigated.
To exercise any of these rights, email us at privacy@bookmyrepairs.co.ukwith a brief description of what you'd like us to do. We may need to verify your identity before acting on the request.

9. Updates to this policy

The latest version is always available at bookmyrepairs.co.uk/privacy and the "last updated" date at the top of this page reflects when the most recent change was made.
If we make a material change — anything that affects how we use your data — we'll let existing customers know by email before the change takes effect.
